Description:
In the second half of 2025 (July 1 to December 31), Denmark will hold the presidency of the EU's Council of Ministers, which entails extensive meeting activities, including a number of ministerial meetings, official meetings/conferences. The Ministry of Foreign Affairs is therefore looking for conference facilities that are suitable for this type ofmeeting proceedings. In total, a total number of participants during the entire period is estimated at approx. 17,000 people. In addition, there is support staff, which can amount to approximately 250 people per ministerial meeting.
A decision has been made from the political side that the meetings will be held in different parts of the country.
It is expected,that the largest part of the meeting activities are held in Copenhagen for logistical reasons, including short transport time to Copenhagen airport, as well as for reasons of hotel capacity and cost efficiency by gathering many meetings in one place. The Ministry of Foreign Affairs is therefore looking for conference venues in Copenhagen and elsewhereone for Copenhagen. Therefore, the tender is divided into 6 partial agreements. There are 3 partial agreements regarding conference venues in Jutland or on Funen and 3 partial agreements regarding conference venues in Copenhagen. The part-times in Jutland/on Funen (1, 4 and 5) should be allocated to different conference locations as far as possible. Assigngsprocedure is described in more detail in the tender materials and below in this order, in the section "extended description".
